HHEW Big-Tent & E-Mail Etiquette Rules:
1) It is recommended, but not required, that because of the number of emails that you may get at times that you open a separate “HHEW 100/Group” dedicated email account. There are many, many free email programs around including gmail and yahoo.
2) All HHEW members must submit an updated photo and bio to KOH or the group moderator each year for the website.
3) Please begin each e-mail subject/topic with "HHEW"
4) If you want your name to be removed from the group, please e-mail KOH or the group moderator privately, and not to the entire group
5) Everyone is free to bring in new members, but please let KOH or the group moderator know first via a message "Personal to KOH." Ideally current members will actively bring in new members annually so that we will always be at our 100 membership maximum. This consistency helps reflect our influence as a think tank.
6) Group topics can and should start from any person in the group, not just from KOH
7) Each member will co-lead discussions at least three times during the year
8) When replying, make sure that you are e-mailing the entire group and not just to KOH “[email protected] "
9) The group discussions will attempt to be proactive and also "action plan" oriented
10) But the group discussions will also range from humorous to the serious, but at all times, African-centered
11) The group should be used as a sounding board and support system, and not as a "whining room" or "pity party"
12) Profanity or swearing, for the sake of cursing or cussing, is not allowed, however, "stuff" happens, so let the words have meaning
13) We agree that it is okay to disagree. I don't think anyone has all the answers here, but we all have intelligence and opinions
14) When replying, be sure to also include enough of the message that you are replying to, instead of just sending out your message. This way, others will have a better sense of the flow of the conversation
15) Don't be afraid to hit the DELETE BUTTON. We would rather have you delete messages than feel overwhelmed by messages
16) No one’s comments (with name) should ever, ever be published or posted outside of the group without that person’s permission first
17) If a group member does not participate in at least one discussion per month (or make one comment at least once a month), it should be assumed that that person no longer wishes to be in the group, and will be removed by KOH or the group moderator
18) Keep in mind that whenever KOH or the group moderator replies, s/he carefully goes through the e-mail addresses and tries to ONLY send messages to those still in (or around) the group. So if you need to cut-and-paste (or start a new topic), please try to start with the most recent list that KOH or the group moderator used, not an old out-of-date one.
19) Some Internet providers automatically block unfamiliar e-mails, so be sure to add HHEW members to your provider e-mail list. This way the dialogue will get to everyone. For example, sometimes a person tries to reply to a topic and is notified that his or her e-mails cannot be delivered because s/he is not on the receiving person’s list.
